When you sign up for Staylink PMS, request an onboarding demo, or operate our hotel management software, we collect:

• Hotel & Account Profile: Property trade name, owner/manager name, mobile/WhatsApp contact number, official email, property address, and GSTIN.
• Hospitality Operational Data: Room categories, seasonal rate cards, room inventory, point-of-sale restaurant items, and billing folios inputted by your hotel staff.
• Guest Check-in Records: Guest name, phone, email, identity document scans (Aadhaar, Driving License, Voter ID, Passport), vehicle registration numbers, and purpose of visit strictly maintained for legal police verification and hotel register records.
• System Diagnostics: IP address, device operating system, browser type, and audit logs to secure your account against unauthorized staff tampering.

2. How We Use Collected Information

Information is utilized exclusively to provide reliable hotel management software operations:

• To operate Front Desk check-in/out, Tape Chart calendars, and Restaurant FoodPOS order routing.
• To sync room rates and inventory across 50+ Online Travel Agencies (OTAs) via our 2-way Channel Manager.
• To transmit automated WhatsApp operational notifications (booking confirmations, guest digital vouchers, and 6 AM owner daily flash reports).
• To generate GST-compliant billing invoices and calculate accurate tax returns.
• To provide continuous 24/7 customer technical support and product enhancements.

3. 100% Data Ownership & Portability

Your hotel data belongs exclusively to you. Hoteliers can export guest histories, reservation logs, cash audit records, and invoice histories in Excel (CSV/XLSX) format at any time directly from the Staylink PMS dashboard with zero administrative friction.

4. Data Protection & Cloud Security

Our infrastructure is housed in high-security Tier-4 cloud data centers in India. Data transmissions use TLS 1.3 encryption. Role-based access controls ensure receptionists cannot modify historical revenue reports without supervisor authorization. Daily automated cloud backups guarantee zero data loss.

5. Third-Party Integrations

Staylink connects with third-party service providers solely to execute hotel features:

• OTA Portals: MakeMyTrip, Goibibo, Booking.com, Agoda, and Airbnb for real-time calendar and rate synchronization.
• WhatsApp Business API: Meta platforms for sending transactional invoice alerts and booking vouchers.
• Payment Gateways: Razorpay and UPI providers for secure guest pre-payments. Staylink never stores credit/debit card numbers or UPI PINs.
